Data Deletion Instructions
Vastrix

This page explains how to request deletion of your personal information held by Vastrix, as required by the Protection of Personal Information Act, 2013 (POPIA) of South Africa and Meta's developer platform requirements.
1. Your Right to Request Deletion
Under POPIA Section 24, you have the right to request that Vastrix delete personal information we hold about you. This applies whether you are a current subscriber, a former subscriber, or have only interacted with Vastrix during onboarding.
2. How to Request Deletion
To request deletion of your data, send an email to:
info@vastrix.co.za
Subject line: "Data Deletion Request"
Include in your email:
- Your full name
- The WhatsApp phone number registered with Vastrix
- A statement requesting deletion (e.g., "I request that Vastrix delete all personal information you hold about me")
- Confirmation that you understand deletion is permanent and irreversible
3. Verification
To protect your account from unauthorized deletion requests, we will:
- Send a confirmation message to your registered WhatsApp number
- Ask you to reply confirming the deletion
- Only proceed once we have verified the request comes from you
4. What We Delete
Once verified, within 30 days we will delete:
- Your row in our client database (name, WhatsApp number, subscription details)
- All tasks, reminders, drafts, pending bookings, and contacts associated with your account
- All conversation logs and command history
- All usage records linked to your account
- Any documents or files you sent via WhatsApp
- Any voice notes you sent via WhatsApp
- All OAuth tokens granting Vastrix access to your Gmail, Calendar, Contacts, and Drive
5. What We Cannot Delete
For legal and operational reasons we retain:
- Billing and tax records — for seven years, as required by South African tax law (SARS). These records contain your name and payment dates but no detailed message content.
- Aggregated, anonymized usage statistics — these cannot be linked back to you
6. Data Held by Third Parties
Vastrix uses third-party services (Notion, Google, Meta WhatsApp, Anthropic, OpenAI). Deleting your data from Vastrix removes the rows we control. Some third parties may retain logs independently per their own policies. To request deletion from those services directly, refer to their data deletion processes:
7. Confirmation of Deletion
Once deletion is complete, we will email you a confirmation at the email address you sent the request from.
8. Timeline
We process deletion requests within 30 days of receiving verified confirmation. Most requests are completed within 7 business days.
9. After Deletion
After your data is deleted:
- You will no longer receive any communication from Vastrix
- You will not be able to log in or access any previous data
- If you wish to use Vastrix again in the future, you must subscribe as a new client
